Privacy Policy

Who we are

myCalanex ("myCalanex", "we", "us") provides a career readiness platform licensed to universities, community colleges, and workforce development organizations ("Institutions"). Students and advisors use the platform under their Institution's agreement with us.

Data we collect

• Account data: name, email, institution, role, and authentication identifiers.
• Career profile data: career interests, pathway selections, milestones, resume drafts, LinkedIn positioning, networking contacts, application tracking, and notes.
• Usage data: pages viewed, features used, and aggregated activity metrics.

How we use data

We use data to deliver the service, generate AI-assisted feedback, surface advisor triage queues, produce institution-level scale reports, and improve the product. We do not sell personal data.

AI processing

Resume reviews, interview practice, and content suggestions may be processed by approved AI providers under data processing agreements. Resumes are not used to train third-party models.

Sharing

Within an Institution, advisors and admins can see student career data needed to advise them. We share data with subprocessors (hosting, AI providers, email delivery) and with your Institution. We disclose data when required by law.

Retention

Account and career data are retained for the duration of the Institution's agreement plus a reasonable archival period, then deleted or anonymized. Students may request export or deletion through their Institution.

Your rights

Subject to applicable law (including the Family Educational Rights and Privacy Act (FERPA), the General Data Protection Regulation (GDPR), and U.S. state privacy laws), you may request access, correction, export, or deletion of your data by contacting support@mycalanex.com or your Institution's career center.

Security

We use role-based access control, row-level security, encryption in transit and at rest, and least-privilege practices.

Changes

We will notify Institutions of material changes to this policy.
